Handling NWEA Data

The NWEA Import Client can be used in conjunction with NWEA’s Data Agent and CompassLearning’s Test Translator to support NWEA external assessments. The Data Agent integrated into Compass Learning will automatically download the most current file available from NWEA and process it to give students their corresponding assignments. Alternately, you may import NWEA external test files manually by going to the Tools section > NWEA test data > Download and downloading a current file, then processing that file as an NWEA import to give students assignments.

Note: Your site must be licensed for Test Translator to be able to import NWEA test results. The NWEA Data Agent is used by NWEA to periodically download external test data files to customers who have purchased NWEA licensing and submitted a school roster to NWEA.

 

You can also view and download data files located on the NWEA server, if your account is configured for you to do so. You can use these data files to create student learning paths.

How do I set up the NWEA Import?

  1. District administrators: Click My District > Tools.
    School administrators: Click My School > Tools.
  2. At the Tools home page, click NWEA Test Data.
  3. On the next page, click Import. The NWEA Import page opens.
  4. Click Browse and navigate to the NWEA XML file you want to import. When the file name appears in the File to Import field, click Next.

Note: By default, the NWEA Data Agent downloads these files to "C:\NWEA\INBOUND". However, your data agent configuration may differ.

  1. From the Select Profile page, select the desired profile for use when parsing the uploaded file (this is normally set to the default profile).
  2. Click Next.
  3. On the Select Error Option page, indicate how you want to proceed with the import if various data items are not included in the file. For existing assignment options, select one of the following behaviors:

Option 1: Keep All Existing Assignments

Use this option when you want all students to continue working on existing assignments assigned from a previous assessment data import AND receive new assignments generated from the new assessment data import, regardless of how students score. 

Option 2: Un-assign All Existing Assignments

Use this option when you want all students to work ONLY on new assignments generated from the new assessment data import and for existing assignments to be un-assigned, regardless of how students score.

Option 3: Un-assign Assignment if Score is in Same Range + Keep Assignment if Score is in Different Range

Use this option when you want:

    1. Students who score in the same range to restart all work on their assignments for that range.

    2. Students who score in a different range to keep their existing assignments AND be assigned new assignments matching their new scores.

Option 4: Keep Assignment if Score is in Same Range + Un-assign Assignment if Score is in Different Range

Use this option when you want:

    1.  Students who score in the same range to continue their work on those assignments.

    2.  Students who score in a different range to be assigned new assignments matching their new scores.

  1. After making your selections, click Next.
  2. The Final page shows a summary of the import details you provided. (To make changes, click Back and return to the page where you want to change information about the import. Make your changes and click Next until you reach the Final summary page.)
  3. When you have finished making changes (if any), click Finish. A message appears, informing you that the file has successfully uploaded. Click OK to close the message window.

What do I need to do before a new NWEA Testing Window?

Prior to students beginning their testing for the next test window, there are some steps you want to take to ensue that students receive their new assignments.

First, check the test window configuration:

  1. District administrators: Click My District > Tools.
  2. At the Tools home page, click NWEA Test Data.
  3. Click the Configuration button. The pop up dialogue box displays the following:

Days between testing windows: Defaults to 30

Testing Window Start Date: Displays the start date for the current testing window as the Compass Learning program sees it.

If the next import occurs after MM/DD/YYYY, the system will assume the file belongs to a new testing window.

Force a new testing window with next import: checking this box allows the district admin to tell the program that a new testing window begins now.

  1. If you make any changes, be sure to SAVE.
  2. Close out the dialogue box and click on Show History.

There should be a listing of recent file retrievals and files imported.

How can I check the current configuration for NWEA assignments?

To check handling of your existing assignments,

  1. Click My District in the upper left corner of the screen.
  2. Click Edit My Account in the upper right portion of the screen.
  3. Once the District Account Profile box opens, click the 3rd tab titled NWEA File Retrieval Options.

Here you can change the existing assignments handling as follows:

Option 1: Keep All Existing Assignments

Use this option when you want all students to continue working on existing assignments assigned from a previous assessment data import AND receive new assignments generated from the new assessment data import, regardless of how students score.

Option 2: Un-assign All Existing Assignments

Use this option when you want all students to work ONLY on new assignments generated from the new assessment data import and for existing assignments to be un-assigned, regardless of how students score.

Option 3: Un-assign Assignment if Score is in Same Range + Keep Assignment if Score is in Different Range

Use this option when you want:

  1. Students who score in the same range to restart all work on their assignments for that range.
  2. Students who score in a different range to keep their existing assignments AND be assigned new assignments matching their new scores.

Option 4: Keep Assignment if Score is in Same Range + Un-assign Assignment if Score is in Different Range

Use this option when you want:

  1.  Students who score in the same range to continue their work on those assignments.
  2. Students who score in a different range to be assigned new assignments matching their new scores.

What if my students still don't have assignments?

  1. Under My District: Check to see that your students have a student ID number that matches what is submitted to NWEA. This is the *only* way that the program can find students and give them assignments.
  2. Under My District > Edit My Account > Tab1: Check to see that the name of the school in the Compass Learning program matches what is being submitted to NWEA.  If the names don't match, students don't receive assignments.
  3. The MAP coordinator should log into the NWEA website and confirm that Scheduled reports is enabled, set to daily and checked for Compass Learning XML data file.

How can I download NWEA Data Files

  1. District administrators: Click My District > Tools.
    School administrators: Click My School > Tools.
  2. At the Tools home page, click NWEA Test Data.
  3. On the next page, click Download.

  1. The NWEA File download window opens. This window shows the file that is available for download on the NWEA server. 
  2. Click Download File. You have the option to open or save the file, or cancel the download.

What reports will allow me to include NWEA Test Data?

You can opt to include NWEA test data in two reports:

On the Curricula tab in the report settings section, the External Test option appears among the grade levels you can choose to include in the report. To include NWEA data, check the box for the External Test option.
